Return, Refund, Cancellation & Exchange Policy

Effective date: January 1, 2026

This policy distinguishes embroidery machines from accessories and consumable supplies because machines are high-value freight products that require configuration, crating, delivery coordination and post-delivery technical diagnosis.

1. Seller and scope

The seller is Shenzhen FUJA Machinery CO., Ltd. ProStitch Machinery & Parts Inc may collect payment on the seller’s behalf. This policy applies to orders placed through fujaembroidery.com unless a signed quotation or contract contains different terms.

2. How to request service or a return authorization

Contact fuja11@fujacn.com before sending any item. No return will be accepted without a Return Merchandise Authorization (“RMA”) and the authorized return address. The address shown on a parcel, payment statement or warehouse page may not be the authorized return address.

· Provide the order number, product model, serial number, delivery date and reason for the request.

· For damage, defect or performance issues, provide clear photos and video showing the crate, product, control panel, error message and the relevant operation.

· Follow reasonable remote diagnostic steps. This does not waive any non-waivable consumer right.

3. Order cancellation before shipment

A standard, non-custom order may be cancelled for a full refund if the cancellation is received before the order is accepted for dispatch and before non-recoverable customization, production, crating or third-party service costs are incurred.

Customized, made-to-order, engraved, digitized, software-licensed or special-configuration items may be non-cancellable after work begins. Any non-refundable amount will be disclosed before the customer commits to that work.

4. Cancellation after dispatch or refusal of delivery

After an order has been dispatched, cancellation is not guaranteed. If FUJA approves a cancellation or the customer refuses a conforming shipment, FUJA may deduct actual outbound freight, return freight, storage, customs and handling costs plus a restocking fee of up to 20% of the product price, to the extent permitted by law and disclosed for the transaction.

5. Embroidery machines after delivery and signature

After an embroidery machine is delivered and signed for, a non-defective machine is a final sale and is not eligible for return or exchange based on change of mind, insufficient space, buyer’s remorse, financing changes, expected learning curve, failure to verify specifications, or inability to operate the machine without completing reasonable training.

For an alleged defect, shipping damage or material non-conformity, FUJA will use a repair-first process: remote diagnosis, corrective guidance, replacement part or authorized repair. If the machine cannot be repaired within a reasonable time, FUJA may replace it. If replacement is unavailable or legally inadequate, FUJA will provide an appropriate refund or other remedy required by law.

· The customer must stop using a machine when continued use may worsen damage or create a safety risk.

· The original crate, pallet, accessories, manuals, tools, dongles and promotional items must be retained.

· A return, if authorized, must be packed to FUJA’s written freight standard. Unauthorized or unsafe freight returns may be refused.

6. Accessories and consumable supplies

Standard accessories and unopened, unused supplies may be requested for return within 30 days after delivery, subject to RMA approval, proof of purchase, original packaging and resaleable condition.

· The customer pays return shipping for non-quality returns.

· Original shipping charges are non-refundable unless the return results from FUJA’s error or applicable law requires otherwise.

· Opened thread, stabilizer, needles, bobbins, lubricants, hygiene-sensitive items, downloadable files, activated software, custom hoops and personalized goods are not returnable unless defective or required by law.

7. Inspection, deductions and refunds

Authorized returns will be inspected after receipt. Missing parts, damaged packaging, use beyond reasonable inspection, improper packing, contamination or customer-caused damage may reduce the refund up to the documented loss in value, subject to applicable law.

Approved refunds are issued to the original payment method, normally within 5–10 business days after inspection. Financial institutions may require additional time. FUJA will not issue a refund by a different method without identity and fraud checks.

8. Wrong, incomplete or damaged shipment

Report wrong or missing items promptly and shipping damage within the time stated in the Shipping & Delivery Policy. FUJA may request photos, video, package labels and carrier documents before providing replacement parts, exchange or refund.

9. Non-waivable rights

This policy does not exclude remedies that cannot be excluded under applicable consumer law. Where a mandatory rule conflicts with this policy, the mandatory rule controls.
